The role reports to the General Services Manager and ensures the smooth running of the company's internal services. He or she assists the General Services Manager in tasks related to non-production purchases or the involvement of external service providers. He or she also assists the General Services Manager in the supervision of canteen services. Nursing services and the coordination of travels and logistic for regional staff, external staff, local staff and visitors.

Key Responsibilities Include

  • Maintain the telephone switchboard (reception, transmission, call requests) in strict confidentiality
  • Assist GS Manager in welcoming and directing visitors or suppliers and putting them in touch with the departments or persons requested
  • Assist GS Manager in supervision of canteen services.
  • Assist GS Manager in carrying out ancillary transmission tasks (photocopying, faxing, binding, etc....) according to the instructions of the hierarchy and in strict compliance with the confidentiality of documents of a professional nature only
  • Receiving mail and invoices, scanning them, recording them and forwarding them to the RSGs for control in strict compliance with confidentialityC
  • Ensure the internal dispatching of mail on the instructions of his/her hierarchy and in strict compliance with confidentiality
  • Ensuring the proper functioning of the equipment under his/her responsibility and reporting any malfunctions to his/her superiors
  • Receive the delivery of office supplies and satisfy the needs of applicants in the absence of the GSR/RSG
  • Receive supplier cheques from DAF, inform suppliers by telephone and give them a receipt
  • Assist GS Manager in carry out General Service’s related errands as instructed by his/her line manager
  • Manages non-technical purchases and the personnel of his/her department (training, leave, absences and recruitment)
  • Assist GS Manager in the follow-up of the department's budget and the management of the Directorate's documents
  • Assist GS Manager in the management of the office supplies of the SIC CACAOS and the follow-up of the car fleet (Administration, Tomcard, claims declaration, etc...)
  • Assist GS Manager in the follow-up of the SIC CACAOS villas or other homes rented by SICC (inventory of SICC equipment, processing of requests from residents, water and electricity consumption, etc.)
  • Assist GS Manager in the administrative follow-up of air conditioning maintenance contracts, site cleaning and green spaces
  • Administratively assist GS Manager in manage all site cleaning staff

About You

  • High school diploma or HND; at least 2 year of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
  • 03- 05 years minimum experience in a similar field.
  • Good computer skills (MS Word, Excel, PowerPoint, etc.);
  • Good command of French/English and possibly a third language;
  • Be able to work independently
  • Be rigorous and organized
  • Good courtesy skills and customer relations skills
  • Sense of initiative
  • Discretion and confidentiality
