JOB Title: Finance Coordinator

 

ROLE PURPOSE

Ensure that sound financial processes are in place to deliver transparent accounting, accurate & timely cash flow management, financial analysis & reporting and adequate internal financial controls in the company.

ACCOUNTABILITIES

Budget Planning and monitoring

  • Participates to the budgeting process and ensures that projects plans are consistent with the approved budgets.
  • Monitor the company budget and provides regular budget Vs Actual analysis for information to the Management and technical Team.
  • Constantly Liaise with technical team and other HODS to appropriately coordinate the financing and justifications of project cost.
  •  Prepare Monthly financial reports and advice management on risky points for timely intervention.
  • Review Project outlines and modifications to ensure accuracy of coordination and budget availability as per the global action plan.

 

Accounting and treasury:

  • Oversee the general activities of finance department.
  • Develop and implement an effective accounting process that facilitate the movement of activities.
  • Reviews and consolidates the weekly urgent cash request to insure cost optimisation.
  • Track all the suspend account (471) to ensure they are justified and cleared on monthly bases.
  • Carry out periodic inventory of materials and fix asset, detect discrepancies and post the necessary adjustment.
  • Ensures petty cash surprised count is performed at list monthly and properly documented. 
  • Ensure that the unit has sufficient funds for operations and project implementation.
  • Prepare monthly online tax declaration of VAT, Income Tax, CNPS….
  • Ensures that all transactions are reviewed, approved and posted in sage following the OHADA Prescription.
  • Ensure timely review of transactions and monthly accounting closure.

 

Financial reporting and analysis:

  • Prepare Monthly & Quarterly financial reports (receivables, liabilities, prepayment, staff advances.)
  • Prepare the fixed asset book of the company.
  • Monitor the asset register, post the periodic depreciation and other fixed  asset movement.
  • Prepare Monthly Bank Reconciliation, detect incoherencies and post the necessary adjustment. 

Internal Control

  • Review all vouchers (cash disbursement, cash receipt, journals) for completeness, accuracy and consistency with attached supporting documents in compliance with internal rules and regulation and OHADA accounting principles.
  • Ensure that all transactions are recorded in sage 100 in compliance with OHADA accounting principles.
  • Ensures that management of cash complies with the key requirements of the OM (Operations manual).
  • Identifies areas of internal control weakness and reports to the management.
  •  Orientate the Finance and non-Finance staff on Finance related processes and procedures.

People management

  • Conduct interim and final evaluation of direct report staff based on PMS guidelines.
  • Mentors/coaches staff on continuous basis.  
  • Conduct regular meeting with staff.

 

TECHNICAL EXPERTISE, SKILLS AND KNOWLEDGE

Essential

  • University degree in Accounting/Finance/Management.
  • Holder of Baccalaureate G2 or Technical GCE advanced level in accounting is a plus.
  • At least 3 years’ experience in a similar role.
  • Fair knowledge of project management especially in construction company.
  • Good experience and knowledge of accounting and budget management regulations and procedures.
  • Good experience and knowledge on internal financial controls and procedures.
  • Good experience in project reporting requirements.

  • Proficient in Microsoft applications especially excel.
