VOLUNTEER PROGRAM

JOB DESCRIPTION FINANCE  AND ADMINISTRATIVE CLERK

GENERAL DESCRIPTION

The Finance and Administrative Clerk is responsible for providing financial, administrative and clerical services in order to ensure effective, efficient and accurate financial and administrative operations. The Finance Clerk must comply with the IFRS, OHADA and Giftedmom’s financial and personnel policies and procedures. These services will include processing and monitoring payments and expenditure, processing and monitoring receipts and revenues and preparing and monitoring the payroll system

 

Reports to: The Chief Finance Officer

 

Working Hours: Mondays to Fridays from 8:00 am to 5:30pm.

 

MAIN DUTIES

-          Receive and verify invoices and requisitions for goods and services

-          Verify that transactions comply with financial policies and procedures

-          Prepare, verify, and process invoices and coding payment documents

-           Data entry in the Accounting Software

-          Prepare invoices

-           Manage the petty cash and prepare routine reports

-          Maintain listing of accounts receivable and payable

-          Maintain the general ledger

-          Ensure that all cheques are endorsed by authorized signatories

-          Complete payroll functions

-          Provide administrative support in order to ensure effective and efficient office operations

-          Monitor and order office supplies

-          Prepare purchase orders for signature by authorized signatories

-          Prepare travel and accommodation bookings and travel advances for staff

-          Review and verify travel claims

-          Reconcile travel advances with travel claims

-          Maintain a filing system for all financial documents

-          Ensure the confidentiality and security of all financial and employee files

-          Assist with the completion of monthly bank reconciliations

-          Maintain an up to date asset listing of Company owned equipment and furnishings

-          Perform other duties as assigned by supervison

EDUCATION AND QUALIFICATION

-          At least an HND in Accounting, Finance, Banking or any related field

-          Previous internship or working experience will be a plus

-          Microsoft word, excel, powerpoint

-          Knowledge of QuickBooks Accounting software

-          Knowledge of office administration Knowledge of Basic Bookkeeping procedures

 

 

RENUMERATION

 

This is a volunteer position however Giftedmom will pay a stipend of 40 000 FCFA per month to carter for transportation
